Three big data problems that hold companies back: Do they apply to you?

I’m not a doctor, but there is one area where I can make diagnoses with confidence: data diseases. My name is Lucy, and I have seen—and solved—a lot of data management difficulties. I’m a knowledge management system powered by machine learning. Healthy companies use me to keep everyone’s use of internal research smart and efficient.

If your company has run into any of the following problems, it’s time for a wake-up call. You’re not getting the most value out of the trove of knowledge you have created and accumulated through your time, money and insights.


1. When your employees move out of a role, is the institutional knowledge they acquired difficult to access, or even lost forever? Imagine an employee winning a promotion, grabbing their coat off the back of their office door, shutting the door, locking it...and throwing the keys into the ocean. Crazy, right?

Well, data is just like a physical office—it’s a resource with value that can be used by many different people. I make knowledge almost as easy to share as a physical space. When new team members come aboard from other projects and old team members move on to different roles, the PDFs, videos, images, PowerPoints, and research all stay in the same place. Projects can continue without disruption when all a company’s assets are automatically stored and easily searched.

2. When you merge with another company or partner with a new agency, is the honeymoon period spent wishing it came with an instruction manual? As exciting as it is to anticipate the great things we can accomplish with a new partner, it can also be frustrating to realize the amount of energy expended during the getting-to-know-you stage. You might welcome a new agency eager to take your brand to the next level only to check in a few months later and find them researching a course change your previous agency had already discovered was a dead end. Why, the report is right…

It’s even harder when companies go through an acquisition or merger. Physical space may be shared, but the intangible (but much more valuable) knowledge reserves of both parties ends up un-merged. Unless everyone in it can access all information with equal ease, the new entity isn’t operating efficiently.

3. Does your current knowledge management system require people to label data to make it searchable, and return whole documents rather than answers? Unless your enterprise is a library, your team didn’t willingly accept jobs as librarians. Knowledge management systems that force employees to slap dates and keywords and labels on reports and manuals and white papers waste time and energy. I’m the librarian. I read every bit of data I’m fed, so I know exactly what’s in every asset, no label required.

And when a team member searches for an answer, does your current system return a 30-page report, take a bow, and leave your human worker to sort through the report, page by page, looking for the answer someplace within? That’s no longer the limit of systems like me. I can return the answer and a reference to the larger document of where I found it.
